In Upwex a seat<\/strong> (sometimes called a license<\/strong>) is what entitles one team member to use the paid features of your plan. Seats are managed automatically \u2013 there is no separate “Assign License” \/ “Unassign License” action<\/strong> on the Team page. You add a seat by inviting someone, and you free a seat by removing them.<\/p>\n

How seats are added \u2013 invite<\/h2>\n

When an Owner or Admin invites someone via Invite +<\/strong> on the Team page:<\/p>\n

  1. Upwex checks whether your plan still has free seats. If not, it expands your subscription by one seat.<\/li>\n
  2. The seat is reserved immediately<\/strong>, before the invitee accepts.<\/li>\n
  3. Your subscription is charged a prorated amount<\/strong> for the days remaining in the current billing cycle (shown in the modal as Charged now (prorated)<\/em>).<\/li>\n
  4. The new monthly total is shown as New monthly total<\/em> \u2013 that’s what you’ll pay from the next renewal.<\/li>\n<\/ol>\n

    Pending invites still occupy a seat and count toward your monthly total \u2013 same as Active members. See Invite a team member<\/a>.<\/p>\n

    How seats are released \u2013 remove<\/h2>\n

    When you remove a member from the Team page (\u22ee menu \u2192 Remove<\/strong>):<\/p>\n

    1. The seat is released back to the pool.<\/li>\n
    2. If the member was paid, your subscription seat count is reduced by 1 with prorated credit applied at the next invoice.<\/li>\n
    3. The monthly total decreases starting from the next renewal.<\/li>\n<\/ol>\n

      Cancelling a Pending invite frees its seat the same way \u2013 see Remove a team member<\/a>.<\/p>\n
